Board Meeting February 13, 2014

A regular Board meeting of the Southeast Portland Tool Library (SEPTL) was held 2/13/2014 at the Barley Mill Pub 14th and Hawthorne, Portland, Oregon.

The meeting convened at 7:00 PM, Chairman Sean Barnett presiding.

GETTING KELLY FADDIS ON BOARD AS TREASURER to replace Casey Cotton: at next Board meeting with Kelly present we should vote her into Board if she is willing.

Casey is too busy to continue as Treasurer and Board member – he will continue as our consulting tool guru for now.  We should put item in Newsletter asking for members with tool experience or knowledge to help select, evaluate and repair tools.  Maybe divvy up tool expertise among Board members and member volunteers.

BOARD MEETINGS  should include SEPTL paying for $10 of snacks for attendees.

EVENTS:

Hold another Seismic Workshop in July
Tool Repair party – Feb 21 Friday 3-5 PM
Seed Swap March 1 in Grace Room 9 am to 2 pm – Marc Dubac is helping with Steve.  Posters and fliers are up.
Naturescaping April 13 noon to 4 pm – promotion underway
Tool Sharpening May 10 in Parking lot
SEPTL Upkeep Work Parties twice a year Sunday afternoons – maybe next in June or July
SEPTL Social Hour sometime in June — we buy some snacks and maybe have raffle prizes. Buy your own beverage or maybe SEPTL buys first one.  Just invite members who have volunteered in past year?? Get list from VolunteerSpot.
We should try to get a % of take from venue.  Board members will search for donations of raffle prizes from local stores like Grand Central Bakery, Lucky Lab, Hotlips pizza, Hopworks, etc, local SE Theaters.
Parkways/Street Fairs – have SEPTL table – do Division and Belmont –  anyone to head this???
Big Table Saw costs $60 to repair – a member donated $25 and help Michael fix it.

VOLUNTEER RECOGNITION IDEAS:

Post honors to frequent volunteers — maybe award Order of the Golden Hammer (Steve has it) with photo and website/newsletter profile for volunteering 10 times.

PORTLAND TOOL LIBRARY SUMMIT FEB 26, 7PM at NEPTL – Sean, Steve, Michael and Bob will attend.

OVERDUE TOOL / UNPAID FINE CONSEQUENCES:

What is reason for blocking tool lending? Amount of fines unpaid or number of weeks tools overdue. Either $15 or more fine unpaid, or tools late over one week?

Board approved blocking borrowing privileges if fine of any amount is unpaid for 1 week.

Put big sign behind desk “Pay your late fines and return all late tools  to borrow or renew tools again”

RENEWING LARGE TOOLS LIKE LADDERS OR WHEELBARROWS without bringing them to TL – Board voted not to change our current policy or returning all tools before renewing them on tool by tool basis. Last tool of a kind won’t be renewed.
Late tool fine message will be added to automatic email reminding members to return tools.

IT REPORT – Michael – our Acorn internet host has moved us to a new server – Tool Librarian isn’t working on it yet – hopefully will be working by Saturday Feb 15.  Michael explained that when a very late tool is returned member should be asked to contact us and explain why tool was late so Michael can decide, or ask Board to decide, if borrowing privileges will be reestablished. Michael might add an autoemail to notify the member of this.

SEPTL DOOR SECURITY – OK after all – St Davids was doing heating maintenance and left inner door open – nothing was taken and we will ask St Davids not to leave our door open and unattended.

SIGNAGE IN TOOL LIBRARY:

Aaron and Kelly are working on new indoor signage and Volunteer Recognition area.

CELL PHONE may be low on minutes. Bob will check and add $25 minutes.

VOLUNTEER HANDBOOK – add emergency procedures – Aaron will do PGE outstanding volunteer nomination for Bob – not worth the time — only 1 volunteer of many at PGE gets the $500 award – we will probably already get a $400 community award to SEPTL from PGE.
